Title: Activity Co-Ordinator

Location: Village

Responsible to: Location Manager

Hours: up to 20 hours per week (flexible)

Pay: £10.32 per hour  

 

Overall Aim of the Job

To be aware of the vision, mission and values and general policy and procedures of The ExtraCare Charitable Trust, and to be committed to its aims and objectives and delivering an Excellent Customer Experience within the location.

To contribute to residents enjoying a healthy, active and independent life style in our inspirational community. To co-ordinate an activity and events plan which is interesting and appealing to all residents and Friends. Ensure a vibrant and active community

 

Main Duties

To co-ordinate an overall activity programme for residents and friends that meets their needs and aspirations. Making activities as accessible as possible.

To carry out risk assessments as part of the planning of the activities programme.

To encourage/ support residents to lead their own interest groups / activity sessions.

To work with all interest groups to organise expenditure of individual budgets.

Work with the catering team to organise themed evenings, ensuring events are promoted appropriately and encouraging maximum attendance.

To work with  the bar hosts and fitness instructor, to ensure there is a comprehensive plan of evening activities and league games i.e. darts, dominoes, skittles etc.  To support the manager to achieve budget breakeven for the bar and gym.

To involve other key members of staff to promote “One Big Team” approach. (Well Being Advisor, Chefs & Catering staff, Fitness Instructor, Bar hosts and Locksmith.)

Promote ExtraCare Activities and Events to ensure all residents and Friends have the opportunity and are encouraged to participate. Ensure booking forms and requested information is submitted to Head Office when required.

To support the manager to review friends membership and co-ordinate a plan of friends involvement in accordance with the Friends Policy.

Liaise with other Activity Co-ordinators in the region as agreed with the village manager to share resources and maximise activity experiences and income.

Ensure all external activities using the villages generate and income and necessary room hires are agreed, public liability insurances are current and risks are managed. 

Attend relevant street meetings and seasonal activity meetings to drive activities and events forward and communicate what is happening, and take action regarding suggestions or concerns. Hold activity interest meetings with Residents regularly.

Ensure notice boards are organised, well presented and using corporate branded paperwork detail daily and weekly activities or themes and all forthcoming events.

Produce and distribute activity programmes to all residents ensuring the programme is appealing and updated either fortnightly or monthly, and in line with ExtraCare’s corporate standards and guidelines (driving forward electronic communication and email programmes as a preference).

Ensure reception staff are provided with information about current and future events and ensure that they update plasma screen showing up to date ‘What’s on Guide’, and other relevant Village information.

Review your events upon completion and action plan for improvements for next time, where applicable.

Ensure new residents are included and receive the same experience.

Assist the central Activities and Events Manager with planning, organisation and preparation of Activities and Events. Work as part of the ‘events’ team at traditions or as and when required.

Work with the Volunteer Organiser to identify the activities/ roles that volunteers can support with.

Monitor attendance regarding all events, activities and entertainment to ensure those not attending are highlighted and action is taken to ensure non participants are encouraged to take every opportunity to become fully involved with community life.

 

Publicity

To identify upcoming events, current issues and news linked to the location, and to proactively contact the PR Team.

To identify and promote newsworthy issues or resident case studies linked to their location.

To identify and promote resident correspondents who may write news and features.

To act as a contact point for visiting professional photographers taking pictures of events.

To help secure signed consent as required for pictures or case studies.

 

Health and Safety

To take responsibility for all aspects of Health and Safety in your location ensuring ExtraCare’s Health and Safety Policies and Requirements are fully implemented, monitored and adhered to at all times by all staff, including COSHH regulations and to be alert for hazards for self, other staff, residents and visitors and to report such findings immediately.

 

Other Responsibilities

To be fully responsible, conversant, and compliant with all ExtraCare’s policies and procedures, ensuring they are communicated to all staff along with any changes which may be implemented from time to time. 

Any other duties as required from time to time.

 

This post may be subject to a satisfactory enhanced DBS disclosure where applicable, two satisfactory references, medical clearance and Home Office right to work clearance.

This role will require hours of work to be flexible to support the varied hours that volunteers may be on site. It may also require, evening, weekend and bank holiday working as determined by local management.

This Job Description will be reviewed annually and may be subject to revision as required.
