Office Administrative Assistant

Location: Studley Green nr High Wycombe

£12,000 - £13,000 (Depending on Experience)

Permanent, Part time - (Mon - Fri, 20 hours p/w)

We are currently recruiting an Office Administrative Assistant to join our rapidly expanding team. There is great potential for the right candidate who is looking for a new challenge to expand your skill set.

Role requirements

You will have good knowledge and understanding of administrative systems and office work, current business practises, workflows and procedures.

Be numerate with excellent IT skills, including Microsoft Outlook and Office 365, Word and Excel, database packages and a proven ability to work with a high degree of accuracy in detailed work.

Experience of working in an education or IT environment will be an advantage, but not essential. You should be able to work under pressure, willing to go the extra mile, able to make basic corrections to correspondence, make suggestions to improve current business practises and procedures.
Have good interpersonal skills, a good work ethic, be flexible, able to promote good working relationships and maintain client confidentiality and have basic understanding of GDPR.

Working Hours:

This is a part-time position working 20 hours per week with flexible start and finish times.

Main Responsibilities

  • Administration: Have an excellent grasp on current business practises, workflows and procedures and happy to make suggestions on how to improve these areas in the business. Answer calls, reading and understanding incoming e-mails in the admin / sales shared mailbox, providing first line customer services support and basic advice, sending out forms and template letters, escalating correspondence, filing and good record keeping.
  • Accounts: Processing invoices, orders, stock allocation, chasing people for payment and processing orders for deliveries and renewals.
  • Maintaining the CRM Database: Including updating customer records, logging advice calls and sending out email campaigns and newsletters.
  • Processing the social media strategies of the company, including posting and responding to messages and posts and making updates to the company website.
  • Customer service: including building solid customer relationships, processing licensing renewals and warranty registrations for all customers.
  • Supporting the technical team: assisting with chasing support queries, managing our CRM / helpdesk tickets to keep responses within SLAs, calling customers for updates, scheduling the technical team onsite support visits, managing technical engineer calendars and appointments.

Any other administrative support as required

Ideal Candidate:

The Ideal candidate will have the following

  • At least 3 years’ experience working in a customer service / office administration role
  • Previous experience in an IT Service Provider environment
  • Minimum GCSE’s Grade C in English and Maths or equivalent
  • Excellent communication skills
  • Good interpersonal skills
  • Ability to work under pressure and work to deadlines
  • Ability to work as a team and with your own initiative
  • Accuracy and attention to detail
  • Ability to adapt to rapidly changing business priorities
  • High standard of office practice
  • Excellent telephone manner
